Billing & insurance admin
Invoices raised in your system the day of treatment. Claims submitted to Bupa, AXA Health, WPA, Aviva, Vitality and the rest. Remittances reconciled, shortfalls chased, and a ledger you can actually trust.
Clinical admin for private practices
The Admin Clinic takes over your billing, your diary and your letters. All of it done inside your own practice software, by someone who ran a busy clinic for eleven years.
Run by Debbie Hardiman. Eleven years a clinic manager.
A clinical admin service runs the non-clinical side of a private practice: insurer billing, diary management and patient correspondence. The work is done remotely, inside the practice’s own management software. The Admin Clinic provides this for osteopaths, physiotherapists and other private clinics across the UK.
Sound familiar?
Notes, then invoices. The insurer portal. A remittance that doesn’t match. Two letters you’ve owed a GP since Tuesday. Patients are the easy part of the day. It’s the pile after them that eats your evenings.
What we take off your desk
01
Invoices raised in your system the day of treatment. Claims submitted to Bupa, AXA Health, WPA, Aviva, Vitality and the rest. Remittances reconciled, shortfalls chased, and a ledger you can actually trust.
02
Bookings, reschedules and cancellation lists handled inside your own diary. Gaps filled, recalls sent, and patients who turn up because someone reminded them.
03
Dictation in, finished letter out. GP and consultant correspondence, referral replies and reports, done on your letterhead and in your templates. No more late nights typing.
Those are the big three, but the list is longer. Debbie also takes on email and inbox management, expenses and bookkeeping, and the personal-assistant jobs that never reach the top of the pile: travel, appointments, purchasing. If it’s admin and it’s eating your evenings, ask.
How we work
No new platform. No spreadsheets of patient data floating around in someone else’s cloud. We log into your practice management system with our own named user account, so everything we do sits in your audit trail and you can cut off access in one click. Debbie has spent years inside Cliniko, so there’s a good chance we already know our way around your setup.

Who you’re actually hiring
Debbie Hardiman managed a private, family-run osteopathic clinic for eleven years. The diary, the invoicing, the insurers, the letters, the patient who needed a call back. All of it, every day, inside the clinic’s own practice software.
And yes, it’s the family clinic. That’s the point. You know exactly where she learned the job, and you can ask the owner what she was like to work with.
“In eleven years I never once thought about the diary, the invoicing or the insurers. Debbie ran all of it. I only realised how much that was when I saw other clinic owners doing it themselves.”
How it starts
You’d run a new patient exactly the same way.
1
A 20-minute call about where the admin hurts. What’s behind, what’s owed, what never gets done.
2
A written scope within days: what we take over, how access works, and exactly what it costs. No surprises later.
3
We get to work inside your system, and you get a regular email update: what was billed, what was booked, what went out.
The questions everyone asks
Where it already lives: in your practice management system. We work inside your account with a named login you control, under a signed data processing agreement. Nothing is exported to our servers, and you can cut off access instantly.
An employed receptionist or practice manager comes with National Insurance, pension, holiday, sick cover, training and a desk. With us you pay £35 an hour for the work itself, with a minimum of eight hours a month, and nothing else.
Every clinic runs on documented procedures kept in your own shared drive, so nothing lives only in one person's head. You'll know dates well in advance, urgent billing is scheduled around them, and nothing stalls that can't wait a few days.
