The Admin Clinic.

Who we help

Clinical admin for physiotherapists.

The Admin Clinic runs the admin side of physiotherapy practices: insurer billing and pre-authorisations, diary management and patient correspondence, handled remotely inside your own Cliniko, TM3 or PPS. UK-wide, run by a manager with eleven years inside a private MSK clinic.

Insurer work hits physios hardest.

Capped session fees. Authorisation numbers that expire mid treatment plan. Session averages being watched. Remittances that never quite match the claim, and shortfalls someone has to notice before they can be chased. A PMI-heavy caseload can mean more revenue and less margin, and the difference is almost always admin.

The same job, done properly.

Debbie ran a private MSK practice for eleven years. Osteopathy rather than physio, but the same systems, the same insurers and the same fights: recognition numbers, fee schedules, claims that stall, patients who need reminding. The clinic side of your job is the whole of hers.

What we take over

Claims and pre-auths

Authorisations logged and watched, invoices raised on the day of treatment, claims submitted to Bupa, AXA Health, WPA, Aviva and Vitality, remittances reconciled and shortfalls chased.

Diary and DNAs

Bookings, reschedules and cancellation lists worked inside your own diary, with reminders going out on time. Fewer empty slots, fewer patients who simply forgot.

Letters and reports

GP and consultant correspondence, discharge summaries and reports typed from dictation on your letterhead. Out the same week, not the same month.

The hourly rate and published terms are on the pricing page. How access and data control works is on the Cliniko page.

What physios ask us

We're on TM3, not Cliniko. Problem?

No. We work inside whatever runs your front desk, with our own named login and your audit trail. Cliniko is where Debbie has the most years, but the job is the same: the diary, the claims, the letters.

Do you handle pre-authorisations?

Yes. Authorisation numbers logged before first treatment, session counts watched, and extensions requested before you run out rather than after. It's the single biggest source of unpaid physio claims, so it gets treated as billing work, not filing.

We have a backlog of unpaid claims. Can you clear it?

That's usually where we start. The discovery call covers the size of the backlog, and the treatment plan includes clearing it, not just keeping you straight going forward.

Twenty minutes. Bring the backlog.

A discovery call about where the admin hurts, then a written treatment plan setting out exactly what we'd take over and what it costs. No obligation either way.
